How email reports are handled

One Seat brings restaurant report attachments into the restaurant you select. Email connection features may be limited while provider setup and verification are underway.

You choose what to collect

Gmail and Outlook ask you to approve mailbox read access. That permission is broader than a supplier list. One Seat applies your selected sender addresses and lookback period when collecting attachments. It does not request permission to send or delete your mail. You can preview matching messages before enabling collection.

If you prefer not to grant mailbox access, use your private forwarding address or upload a file. Forwarding accepts messages from your allowed addresses and checks the provider’s sender-authentication result. Unverified senders and unsupported files are held for attention.

What is retained

Imported originals, message and attachment identifiers, sender, subject, receipt date, filing and review history are stored with your restaurant. Email receipt dates are not confirmed business dates. Duplicate originals are linked to the saved report. Connection credentials are encrypted on the server and are not sent to your browser.

Review and AI

Email collection does not automatically confirm report facts, calculate payroll, send messages or carry out instructions in a document. Reports arrive as Received. If you later choose an enabled AI reading or question feature, the relevant document or report context is processed by the configured AI service. Check the result against the original before marking it reviewed.

Pause and disconnect

Pause stops new collection. Disconnect removes the saved mailbox credential or disables the private forwarding address. Previously imported reports remain in your restaurant. Services involved

Mailbox collection uses Google or Microsoft. Forwarded email is handled by Resend. One Seat runs on the Sites hosting platform with server-side storage. These services process the information needed to deliver the feature. Do not send records you are not authorized to manage.
